What we collect

Depending on how you interact with us, we may collect:

  • Contact details: name, email address, phone number, employer, job title

  • Career information: CV, career history, qualifications, references

  • Compensation information relevant to a role you're being considered for

  • Communications you send us (enquiry forms, emails)

  • Technical data: IP address, browser type, pages visited (see our Cookie Policy)

  • Information from third parties: referrals, publicly available professional profiles such as LinkedIn, or information provided by a client

How we use it, and our legal basis

  • Assessing and progressing candidates for search assignments: legitimate interests, and contract where relevant

  • Managing client relationships and delivering advisory services: contract and legitimate interests

  • Responding to enquiries: legitimate interests

  • Sending updates you've agreed to receive: consent

  • Meeting legal and regulatory obligations: legal obligation

How we store and manage data

We use HubSpot as our CRM to manage candidate and client records, including a structured candidate tracking pipeline. Records may include contact details, career history and assessment notes gathered during a search process. Access is limited to Ellis Mayne staff working on the relevant assignment.

Who we share data with

  • Clients, where relevant to progressing you as a candidate, generally only with your knowledge and consent before your details are formally submitted

  • Service providers who process data on our behalf, including HubSpot (CRM), Xero (invoicing), and psychometric assessment providers such as Thomas International where used as part of a search process

  • Regulators or authorities, where required by law

We do not sell personal data.

International transfers

Where a service provider stores or processes data outside the UK, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Addendum or an applicable adequacy decision.

Retention

We keep candidate and client data for as long as necessary for the purpose it was collected, and in line with our legal and professional obligations, after which it's deleted or anonymised.

Your rights

Under UK GDPR you have the right to access, correct, or request deletion of your data, restrict or object to processing, request portability, and withdraw consent where processing relies on it. To exercise any of these rights, contact us at info@ellismayne.com.

Complaints

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to resolve any concern directly first, at info@ellismayne.com.
